How do I know dental practices don’t always provide phone training? I know this from experience. In the 7 dental practices that hired me, only 1 of these practices provided phone training right away. In every other practice, I was put on the phone immediately. Without any real training at all in anything. It was truly “sink or swim”. Fortunately, I had picked up some things along the way. And further education did come.
My real phone training came with my very first job. (Which by the way had nothing to do with dentistry) As a young adult, I worked at a private alcohol and drug rehab. I was in the hot seat. Yes, I answered every in-coming call. I don’t remember exactly how many phone lines we had. But there were many! And it wasn’t unusual to have more than one critical admission call going on at the same time. But I loved it! And I learned so much.

Yes, dental office phone training improves every patient phone call! When our dental patients are happy, everyone is happy! We want the office phone handled quickly. And I identify just how quickly in the course. How many rings does it take for the front office team to pick up the phone? Does the phone ever roll over to voicemail during business hours? And is that even acceptable?
And what about the office voicemail system? Is there a proper way to manage this? And does the office voicemail system even matter? And why? How quickly are calls returned from voicemail? What does our voicemail message say? Yes! it all impacts the practice! Every system and every conversation!
Some of our favorite words are , “Please Hold”. Am I wrong? We hear this from nearly every business we call. How can your dental office better manage the “please hold” feature we have? When and how do we want to use this? You do know it’s not a proper phone greeting! Sure, you can use it! And patients will usually hold! But what if you could do better! Because we can always do better. And that’s how we rise above the rest!

When our existing patients are happy, they refer others. It’s so important to remember to celebrate our existing patients. Even those who have been with the practice for a long time. It’s easy to take patients like this for granted. And to think that they will always stay. We do well to remember that they also have a choice. And they made the choice to be with us. They will refer other patients to us too, or not!
Everyone who calls is a patient or a potential patient. And we need to identify that when we answer the phone. Each and every time we answer the phone we speak to a patient or a potential patient. Those are the only two calls. Even when we answer the phone and speak to a vendor! That vendor needs a dentist, and has friends and family members. They all need dentists!
And those people are going to call you! Because you and your team are awesome! Every single phone experience is wonderful! Each call is answered with warmth, and sincerity. Calls are returned promptly and professionally. And every question is answered well! Isn’t that what we want in our dental practice? So many new patients calling and praising us we need to expand our walls! I’ve been there! And it is awesome.
Dental Office Phone Training With Scripts
So many of our phone calls are alike. Sure, every now and then, something unexpected comes along. But for the most part, we hear the same things. Perhaps an appointment must be rescheduled. Someone else needs to get in sooner. A patient has a broken tooth. And then there is the exciting new patient call!
Focus on the patient, not what to say! That’s what phone scripts do for us! Phone scripts equip the dental team as a whole. They keep everyone on the same page. And patients always hear the same type of response. Unity contributes tremendously to practice growth and expansion too!
Anyone on the team can answer the phone. There might be a day that a front office team member is sick or on vacation. Who helps with the phones then? And is that person prepared for what they are about to face? Again, we can’t assume anyone knows exactly what the dentist wants. Unless the dentist communicates that.
The dental team can even work together to write scripts. It can be fun to come together to discuss the phone calls and questions.
