Dental front desk organization improves your mood. And not just your productivity and efficiency. Too much clutter and chaos on your desktop can leave you feeling blue. Desk clutter can contribute to feelings of stress and anxiety and even bring on feelings of unnecessary guilt.
Take the time to clean up your desk. Reorganize your work space and rejuvenate yourself. You may find increased energy and enthusiasm for your day! What have you got to lose? Let’s get you started! But where do we begin?
Designate Personal Space
A drawer or a cabinet space is great for your personal items. Especially if this is a space you can lock. Use this space for all your personal items and nothing else. Store your purse or wallet and keys inside. It could also be the spot where you keep your lunch bag or snacks! And even your cell phone. When you keep this as only your personal space, you will always know just where to find your things.
Your Computer Desktop
The desktop of your computer can get messy real easy! We collect x-rays and documents at warp speed. So, the best way to keep this cleaned up, is to go through everything at least once a week. I like the end of the business week for my clean up time. Things in the office are generally a little quieter. Delete files and emails that you no longer need. And condense needed documents into folders that make sense. Make sure you have a system and keep it consistent.
Purge
Go through every item in your desk. Empty out every drawer and get rid of what you don’t need. And reorganize what you do need. Use drawer organizing tools to help. And use colors and designs that make you smile! You definitely want your space to make you happier. New hanging file folders and other organizational tools are also helpful. And get rid of all those pens and paperclips you don’t use! Really!! How many pens and paper clips do you need anyway?
Wipe Everything Down
Remove everything from the desk top too. And wipe it all down, including the phone. Then be sure to do this every day at the end of the day. You will be surprised at how just doing this each day helps! And it will also keep those icky germs away. Think about how many times a day you touch everything! And patients hand you items as well.
Dental Front Desk Organization & Set-Up
Dental front desk organization includes the layout of your desk. Do you have things positioned just where you want them? Is your phone in a great spot? If you are right-handed, you probably want the phone on your left. And don’t forget that notepad or notebook! It will work better than random sticky notes or pieces of paper everywhere!
Use a 3-tray system on your desk. The tiered trays work great! The top basket should be designated as your “in-box”. The middle basket you can set as your “in-process” space. I recommend prioritizing papers as you move them from your “in-box” to your “in process” basket. However, you want to handle papers as few times as possible. In fact, try to handle paper as you pick it up. But some things you may need to come back to. Then the bottom basket can be “out-going” or “completed” items waiting to be filed and passed on.
Keep items off the desk when possible. The fewer office supplies you keep on your desk, the better. Keep pens in your drawer. You don’t need a whole bucket load of pens on your desk. How many can you really use at once? Keep a few pens that you really enjoy using in your drawer. And try not to let them pile up in there!
Keeping Your Dental Front Desk Organized & Clean
Now comes the task of keeping your dental front desk organization! Which is why it’s a great idea to wipe things down at the end of each day. This act alone will really help you at least keep unnecessary items off your desk. And then once a week, try to do a more thorough clean up. Move everything and purge at least the top drawers and desk top items.
Quarterly clean drawers and reorganize again. Pick a quieter afternoon when you can really dig in! Get rid of paper you don’t need. Create new file folders. Clean out your 3-trays. Take the time to really move things around. Shred what you no longer need. You’ll feel so much better! And will honestly enjoy sitting at your desk more too.

Now that you are all cleaned up, let’s add stronger business systems! Or reintroduce them if they’ve slipped away. And it’s so easy to do. The day can get so busy.
