Dental Office Patient Registration Beforehand
Dental office patient registration can be time consuming. Which is why I find it best to complete patient registration before a patient’s first appointment. At least, as much as humanly possible.
The challenge can be to gather what you need when you need it. Because it never fails! That when a new patient calls to schedule an appointment, there can be a million other things going on too!
Therefore, it’s necessary to gather as possible but only as much as we need. Therein lies the challenge! And let’s not forget that we want to make a connection quickly too!
What Information Do You Need?
Outside of the patient’s name, phone number, and email address, you want their date of birth! Especially since you may have more than one patient in your data base with the same name. And it helps to repeat the date of birth back to your patient just to be sure you got it right!
Basic dental insurance information is necessary too! Minimally, you’ll need the phone number and name of the insurance company. As well as the patient’s alternate identification number or social security number. And if the patient is not the subscriber, you will need the subscriber’s name and date of birth as well as their identification number.
Dental Office Patient Registration Online
Some dental offices have patient registration forms available on their website. This is a great way to direct patients who have internet and printers available. But there are some patients who do not. Or some who will say they cannot make the time. For patients who do not have the ability to print the forms themselves, offer to mail registration forms. And be sure to ask for them to be mailed back. Patients can also scan and email the forms back to you. This will be especially helpful!
Otherwise, be sure to include a self-addressed stamped envelope. And maybe include a short personal note. Let your new patient know you are looking forward to meeting them. And that you would love to get this form back as soon as possible. Ask your patient to include a copy of their insurance card. And they can even email a copy of their card to the dental practice as well!
Include a Release of Records Form
Remember that you need the previous dental records as well. Make things as easy as possible for your new patient. It can be a stressful experience for people to reach out to a new dental practice. And all that we ask of them feels like a lot of work. It’s great to find ways to reduce their load. And to go above and beyond right at the gate!
Mail or email a release of records form for your patient to sign and send back to you. I like to manage this form directly. And not have the patient send this to their previous office. Yes, I admit, I am a bit of a control freak. But I want to know for sure that it was mailed. And then I also want to know when it was mailed. So that I can track and follow up if need be! I’ve always been glad I did!
