Why do we need an administrative manual for the team? Because people make changes in their lives. And there are unexpected disruptions due to illness and family concerns as well. But if we prepare, the impact on our business is minimal. We can trust that our systems and mode of operation is intact. When we plan ahead and prepare the results are so much more predictable.
Let’s Begin
Begin with the end in mind. Did you know I was going to say that? If you have been with me for a bit, you did indeed! And let’s begin with the idea of a mission statement for your manual. Remember, this manual is administrative in nature. The idea is to create a guide for your business systems, policies, and procedures. So, focus only on what you want and need this operations manual to do for you and your business.
If you are a dental administrative team member, you can do this as well! Create this manual for your practice and team. If you are ever out for a sickness or a vacation, the team will thank you! Plus, you’ll have this experience to take with you in any new career endeavors. Trust me, you’ll be very pleased with the results. But for now, let’s think about the mission statement. And what we want this manual to be for us.
Dental Business Operations Manual Mission Statement
Here’s an example of what a mission statement might look like: “The Business Operations Manual provides team members at Smith River Dental Practice, policy and procedure in it’s business systems and administrative management.” Something like that. Of course, you want to customize the statement to suit your practice needs. And you need a tittle for the manual as well. That’s the assignment for your first week. Decide on a title for your manual as well as a mission statement. Then begin to put this into writing.
Business systems are the rules of the road for every business. Every business has business systems. Even if they don’t write them out or communicate them. Dental practices are often not even aware they operate within systems they have developed. They may be chaotic and confusing. But that is what has been created over time. Unless there is a set mode of operation, the tail begins to wag the dog. Training is key. And a strong operations manual combined with training improves dental practice efficiency and daily life.
Vision Statements
Next, let’s include vision statements that refer to our business systems. And here is an example of what our vision statements could say:
Vision Statement
- To provide team members with clarity and direction in all aspects of our business systems
- Our business systems include customer service and patient interactions, phone management, hygiene scheduling, restorative scheduling, accounts receivable
- To commit ourselves to continue to improve ourselves in all that we do
