No Open Appointment Times!

In fact, this is much more than a script!  This little piece of the page is also a guide for the team.  Because as we lead the patient with these words, we also lead the team in superior patient management.   So, let’s imagine Mr. Jones needs a procedure.  Let’s say, a root canal.   A prescription for antibiotics has been issued.  And Mr. Jones has a very busy schedule.  Mr. Jones also wishes a specific date for his root canal.   And a morning time to boot!

Can you feel your blood pressure rise?  Perhaps you look at that date and there is nothing open.   And your heart begins to race even faster.   Have no fear!  Your super powers are here:

“Yes, Mr. Jones.   I’m looking at that date on Dr. Brown’s schedule now.  I would love to accommodate your schedule!   Would you be willing to give me some time to work on that for you?  I just need to get you on Dr. Brown’s schedule to begin doing that.  Could we please pick another date and time just for now.   And I’ll speak with Dr. Brown and get to work on making your preferred appointment time happen for us all.”

Dental patient scheduling scripts produce success with this approach.  But there is a little bit more to it.   Let’s remember, Mr. Jones is on our schedule.  However, not yet on his preferred date.   And we collect his preferred method of contact.  We have his personal cell number and email address.   And we also have his wife’s contact information.  Does he have an assistant who might also be able to reach him for us?  Because we must reach him with his schedule change and opportunity!

Next, we review Dr. Brown’s schedule with him for that specific date.  Does Dr. Brown see any way to manage this procedure for Mr. Jones in the schedule as it is right now.   Is there anything we can do to make it so.   Or should we wait and see if anything opens up.  Perhaps a patient will reschedule.   And maybe, a patient that is on the schedule that date is someone who is easy to move.

Additional Considerations

Reschedule already scheduled patients very selectively and infrequently.  This is not a practice I routinely recommend.   But there are times when it is appropriate.  Given the right background knowledge and scenario, it is a possibility from time to time.  Just be cautious here.  And avoid rescheduling anyone with less than 48 business hours.

What if nothing opens for Mr. Jones?  It happens.  But remember, we have Mr. Jones scheduled for another date.   I prefer to stay in close contact with my patients that I’m working with in this way.   I’ll send a daily text or email to let the patient know I’m on it.  And it’s still in the works.  Then, if it looks pretty solid that I can’t do anything, I call my patient.  I let them know that I have worked closely with the Dr. and our already scheduled patients.  However, I am still unable to make it so.  And then I will let the patient know I will certainly let him know if any last minute changes occur.  And can we hold the appointment we do have scheduled for them.
