I created Dental Front Office Weekly Management Systems to help me complete all the tasks I needed to get done each month. This system breaks all our routine tasks down into weekly and daily tasks.
Let’s start with overdue patient balances. I begin working those accounts at the over 30-day mark. And each patient with a balance over 30-days hears from me each month. That includes balances over 60 and 90 too!
And I do the same for unpaid dental insurance claims. Every single unpaid claim over 30 days is followed up in a month. As well as claims over 60 days. And I literally have no claims outstanding over 90 days because they are followed up on at 30 days.
Then, there is hygiene reactivation. Unscheduled hygiene patients that are due in the month where we currently are receive a call. As does every patient over 30, 60 and 90 days overdue. With a solid inactivation protocol as well.
Credit balance reports are viewed each month. So there are no surprised dentists learning there are over $20,000 in credit balances on their patient accounts. Which may or may not even be accurate.
