Unscheduled dental treatment plans are tough to manage. Unless we stay current with this task. Accurate chart notes are super helpful! And so is strong training in the practice software.
Like everything in dental administration, I prefer weekly management of all tasks. So, this is a great report to print at the beginning of each week. And work through this as the week progresses. The size of your unscheduled treatment report determines how to best tackle it. Set your goal and go!
Why Follow-Up on Unscheduled Treatment?
The most obvious reason is to fill the schedule. And that may be why so many practices wait until there is a lull in the schedule to work this report. It’s best to be proactive here. And avoid a lull at all!
Unscheduled dental treatment will blow up. A patient may develop a tooth ache or broken tooth. And then their dental emergency disrupts everyone’s day. Always at the worst time, too! Or the patient might just transfer to another dentist. One who makes time to follow-up and show they care.

When to Follow-Up on Unscheduled Treatment
Our focus must always be on our patient’s unscheduled dental needs. And not on our quiet restorative schedule. This is one more reason to be proactive. Because we communicate our intent in our tone and body language.
Make it a practice to print this report each week. And work at least one patient on that list each day. If you can reach out to more than one per day, even better. Just be realistic.

Email is my favorite way to reach out to a patient with unscheduled dental treatment. So, be sure you collect email addresses for all your patients as they come into the office. These emails can even be automated through the technology available to us today! Huge time saver!!
Patients are more likely to open the email. You may want to have a setting that shows you when a patient opens the email. And the patient might even respond with a treatment question. Fabulous opportunity to then forward to the dentist to reply.
