Week Three’s Training Plan begins with a dedication to the most common procedure codes. Specifically, the dental codes your providers use most often.
Review the actual code and the definition. As well as the amount of time allotted for each procedure. This may vary by provider.
Consider Color by Procedures
Do you designate specific colors by procedure in your schedule? Because this will hugely help your entire team!
Especially if you coordinate tray colors for the clinical team with the procedure codes in your schedule. You can even band your instruments to match.
Data Entry & Appointment Scheduling
Refine patient demographic entry in week 3’s training. Be sure the new business assistant pays close attention to detail. And every field is completed correctly.
Introduce provider numbers and appointment scheduling. Go over how appointments are scheduled, moved and confirmed correctly.
Week Three’s Training Plan: Lab Cases
Week three’s training plan includes lab case management as well. Show your trainee which dental labs your team uses.
And also how to schedule according to turn around times by procedure. Then, teach your new team member how to check cases in and follow up on those not received on schedule.

Payment Entry and Day End Reports
I like to work on payment entry during week 3’s training. Both insurance payment and patient payment.
Take your time and watch your new business assistant enter payments at first. Then, allow them to enter independently with a follow-up check when it seems advisable.
Week Three’s Training Plan: Insurance Claims & Day End Reports
Then, demonstrate insurance billing. How to attach x-rays, photos and perio charting is next. Save new carrier entry for another time. It’s best to take baby steps.
Day end reports and daily balancing is also important. Do a half-way check on this just before lunch. It will make it easier to find errors. And there will be mistakes to correct.
Take More Time as Needed
Week Three’s Training Plan may require more than one week of coaching. And that’s perfectly fine.
Make adjustments as necessary.
However, it’s definitely helpful to follow a plan. And my weekly plan is sure to help you in your administrative training!
